BPC has an immediate opening for a full-time Executive Assistant. The Executive Assistant works at the highest levels of the organization, interfacing regularly with Senior Management. Exceptional organizational and administrative skills are expected. The position requires the ability to exercise discretion, good judgment, and significant initiative.

 

RESPONSIBLITIES

  • Manages complex, ever-changing calendars and schedules for BPC’s executive team including the CEO and COO
  • Assists with day-to-day tasks such as answering and responding to phone calls, communicating messages and information to and from the CEO and COO, and reviewing upcoming daily/weekly calendar events
  • Ensures CEO and COO are prepared for meetings and events, including gathering documents and relevant background materials and attending to logistics
  • Receives and screens all incoming calls and/or visitors to the CEO’s office
  • Ensures timely responses to internal and external requests of the CEO and COO
  • Coordinates and manages intricate travel itineraries for the CEO
  • Provides executive administrative support for various activities, events, and meetings
  • Handles expense reports and reimbursement requests
  • Assists with Board of Directors meetings including logistics, schedule coordination, and meeting materials
  • Assists COO with contracts and invoice approval process
  • Takes notes at executive meetings and ensures follow-up on action items
  • Builds and facilitates relationships across the organization
  • Coordinates with Communications team on upcoming events, speaking engagements, and press appearances
  • Undertakes special projects as assigned


QUALIFICATIONS

  • Must have at least 5 years’ experience assisting a senior level executive
  • Articulate, self-motivated, highly resourceful and decisive
  • Ability to prioritize and anticipate needs in a fast-paced environment
  • Ability to handle complex problems with minimal supervision
  • Track record of demonstrating sound judgment by making appropriate decisions
  • Ability to maintain composure and sense of humor under stressful conditions
  • Must demonstrate discretion, initiative, and follow-through, as well as being detail-oriented and level-headed
  • Proficiency in Microsoft Office is required

Work Schedule
The work/life balance of employees is a priority for the Bipartisan Policy Center. As a result, BPC is currently operating on a hybrid schedule. Employees at BPC are currently coming into the office three times a week. Exact time and schedules will be determined between an employee and their manager.
